Page numbering is one of the main requirements for formatting various types of informational documents. For printed multipage documents, numbering is even mandatory, as it would be problematic to stitch/layout without it. Moreover, numbering facilitates finding the desired part of the text.
In Microsoft Word, there are several ways to number a text document. Let's explore all the methods in more detail for different versions of MS Word.
The method of numbering pages described below in MS Word 2007-2016 is practically identical, the only difference is in some design aspects of the program. The sections and points are completely the same.
To do this, you will need to:
In MS Word 2003, click on the "Insert" tab, in the drop-down list select "Page Numbers ...". In the "Position:" field, select "Top of Page", "Bottom of Page", etc. In the "Alignment" field, specify as desired. Then click on the "Format" button, in the "Page Number Format" field, select numeric, alphabetical, or other numbering. Confirm with the "OK" button.
In MS Word, you can number pages starting from any number, for example, from the second, fifth, or tenth page. This method is used when an annotation and an introductory part come before the table of contents and the main content of the text.
This numbering method is performed as follows:
If you need to quickly remove the numbering from specific pages, you can do this by going to the "Insert" tab, the "Illustrations" section, the "Shapes" item. Then select a rectangle, circle, or oval, draw a figure over the header. In the figure properties, select white background and border.
In Microsoft Word 2003, enable the display of formatting marks. Go to the last character on the page, then "Insert", "Break". In the opened window under the subtitle "New Section", select the "next page" option and confirm.
Go to the "View" -> "Headers and Footers" tab, then go to the lower header using the corresponding button on the panel, and disable the numbering by clicking "Same as Previous". Click on "Page Number Format", select "Start at:" and set the desired page number. Click the "Insert Page Number Field" and "Close" buttons on the panel.
All official information documents have a cover sheet - basic information on the first page about the presented abstract, report, diploma thesis, etc. The document title, its subject, author, and supervisor are always specified - the cover sheet acts as a cover and does not need to be numbered.
Page numbering is done in the following sequence:
As a result, the number from the cover sheet will disappear, and the numbering will start from the second page with the number 2. This is not suitable for most documents.
Perform the following:
After this, the cover sheet will not be numbered, and the numbering will start from the second page with the number "1".
This type of numbering is often used in printed literature. Even numbers are placed in the left corner and odd numbers are placed in the right corner relative to the binding. This can also be done in Microsoft Word.
To do this, follow these steps:
A detailed illustration of the performed actions with indications can be seen in the image above.
Some types of documents require displaying not only the sequential number, but also the total number of pages in the header/footer. For example, the header/footer may show "Page 2 of 45".
In this case, in Word you need to:
Structured documents of large volume use section numbering. For example, the document has a cover sheet and a title page, which are not numbered. Then, several pages with a table of contents - numbered with Roman numerals, and the text part - with Arabic numerals.
This numbering method is done as follows:
Move the mouse cursor to the page below and in the "Upper Header - Section 2-", go to the "Design" tab, "Options". Then, check the "Different First Page" option.
Then do the following:
Finally, go to the third section of the header, "Insert" -> "Page Number", "Bottom of Page", and find "Plain Number 1/2". If the displayed section numbering does not start with the desired number, go to the "Insert" -> "Page Number" "Page Number Format" tab. In the "Page Numbering" section, check "start at:" and specify "1, 2, 3, ... the desired number", confirm with the "OK" button.
There are cases when the document has already been printed, but page numbering has not been done. To avoid reprinting the numbered document file, you can create a new file without any text content, but with the same number of pages. Then, number the pages using any of the methods described above, insert the printed document back into the printer tray, and print over the page numbering.
To remove headers and footers from an already numbered document, go to the "Insert" tab, the "Headers and Footers" section, the "Page Number" and "Remove Page Number" items. The second way to remove is to click on any page's header, select it by clicking and pressing the mouse, and press "Delete". The header will be deleted throughout the document unless it is divided into sections. In that case, the numbering will only be deleted within the section.
